Our client is seeking a detail-oriented and proactive Administrative Assistant to provide high-level support to a team of investment professionals in a fast-paced environment. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities while maintaining a professional and collaborative demeanor. The hours are 8:00am – 5:00pm (with flexibility needed occasionally for overtime), and the role is 3 days onsite in Manhattan (4 days during training) with 2 days remote.
Responsibilities:
- Provide administrative support to 4-5 investment professionals and backup coverage for other team members
- Manage complex calendars and coordinate meetings across multiple time zones
- Organize domestic and international travel arrangements and prepare itineraries
- Process expense reports and maintain accurate records
- Assist with conference registrations and scheduling 1:1 management meetings
- Handle phone coverage and ensure team members are prepared for all meetings
- Perform light personal tasks for senior team members as needed
Job Requirements:
- Bachelor’s degree required
- 2-4+ years of experience as an assistant in a fast-paced, demanding environment
- Strong organizational and multitasking skills with attention to detail
- Excellent written and verbal communication skills; professional demeanor
- Proficiency in Microsoft Outlook and Office Suite
- Ability to remain calm under pressure and demonstrate a proactive, “can-do” attitude
- Flexible and adaptable to changing priorities; team-oriented mindset
