Our client is seeking an experienced Executive Assistant to provide comprehensive support to senior and mid-level professionals in a collaborative, fast-paced environment. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities while maintaining a professional and approachable demeanor. The hours are 9:00am – 5:00/5:30pm (with occasional flexibility to stay later needed), and the role is onsite 5 days a week in Manhattan.
Responsibilities:
- Manage and organize complex calendars, schedule internal and external meetings and calls
- Coordinate domestic and international travel arrangements and prepare detailed itineraries
- Process monthly expense reports and track follow-ups in a timely manner
- Assist with meeting preparation, including agendas, presentations, and catering logistics
- Greet guests and ensure conference rooms are properly set up and maintained
- Handle sensitive matters with discretion and maintain accurate contact lists
Job Requirements:
- Bachelor’s degree strongly preferred
- 3-7+ years of experience as an Executive Assistant or in a similar administrative role
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
- Excellent written and verbal communication skills; professional demeanor
- Strong organizational and time-management skills with attention to detail
- Ability to work independently, exercise sound judgment, and maintain confidentiality
