Our client, a private investment firm based in Midtown Manhattan, is looking to hire a Temporary-to-Permanent Executive Assistant starting with general office management and day-to-day administrative support. The role will play a key part in keeping the office running smoothly while partnering closely with internal teams. This position will gradually transition into directly supporting the CEO, COO, and CIO as well. This is 5 days on-site and the hours are 8:30am-5:30pm. Pay is up to 150K.
Responsibilities:
- Manage general office operations, including coordinating vendors, supplies, and day-to-day administrative needs
- Provide administrative support to the team, handling ad hoc tasks with a “no task too big or too small” mindset
- Gradually transition into supporting the CEO, COO, and CIO with complex calendar management, scheduling, and meeting coordination
- Arrange domestic and international travel, process expenses, and assist with light personal assistant duties as needed
- Partner closely with leadership and the existing EA to ensure seamless office and executive support
- Handle sensitive and confidential information with the highest level of discretion
Qualifications:
- 7+ years of experience as an Executive Assistant, ideally within finance, private equity, or a small family office environment
- Proven ability to support senior executives with complex scheduling, travel coordination, and expense management
- Comfortable working in a small, quiet, and fast-paced office with a high level of accountability
- Self-starter who can prioritize, anticipate needs, and operate with minimal training or oversight
- Professional, friendly, and discreet with experience handling sensitive and confidential information
- Bachelor’s degree preferred but not required
