Our client is seeking a highly organized and team‑oriented Administrative Assistant to support front‑office investment professionals within a global investment firm. This role requires strong communication skills, exceptional attention to detail, and the ability to manage complex scheduling and logistics in a fast‑paced environment. Hours vary slightly depending on the team, and the position is fully onsite in New York City.
Key Responsibilities:
- Manage complex calendars and anticipate scheduling needs across multiple stakeholders
- Coordinate global travel, including itineraries, visas, logistics, and last‑minute changes
- Handle expense management, reimbursement processing, and receipt tracking
- Serve as the first point of contact for internal and external requests with professional gatekeeping
- Support team events, offsites, and social initiatives, including logistics and attendee coordination
- Provide backup coverage across the broader administrative team to maintain operational continuity
Qualifications:
- 3+ years of administrative experience; financial services strongly preferred
- Bachelor’s degree required
- Strong organizational skills with the ability to multitask and prioritize competing deadlines
- Excellent written, grammatical, and verbal communication skills
- Proficiency in Microsoft Office Suite; ability to learn new systems quickly
- Team‑oriented with a “no task too small” mentality and strong work ethic
Compensation/Benefits:
- Up to $90K base salary + discretionary bonus
