Our client is seeking a polished, organized, and team‑oriented Executive Assistant to support front‑office investment professionals within a global investment firm. This role requires excellent communication skills, strong judgment, and the ability to manage a fast‑paced, high‑volume workflow while partnering closely with a collaborative administrative team. Hours vary depending on the needs of the team, and the role is fully onsite in New York City.
Key Responsibilities:
- Manage complex calendars, anticipate scheduling needs, and prioritize conflicting requests across multiple executives
- Coordinate global travel logistics, including multi‑stop itineraries, visas, and last‑minute changes
- Prepare and track expense reports in compliance with internal policies and timelines
- Serve as primary gatekeeper for internal stakeholders, managing high‑volume communication and phone coverage
- Support team events, offsites, and internal initiatives, including venue sourcing and attendee coordination
- Provide backup coverage across the EA team to ensure seamless operational support firmwide
Qualifications:
- 5+ years of administrative or Executive Assistant experience; financial services preferred
- Bachelor’s degree required
- Strong written and verbal communication skills with a polished, professional presence
- High attention to detail with the ability to multitask and manage competing priorities
- Mastery of Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
- Team‑oriented with a proactive, “no task too small” mindset and high integrity
Compensation/Benefits:
- Up to $140K-$150K base + bonus
