Our client is seeking a highly organized and proactive Administrative Assistant to support an executive of a global alternative investment firm across both business and family office needs. This role requires exceptional attention to detail, strong communication skills, and the ability to operate in a fluid, high-responsibility environment. The hours are 8:30/9:00am-5:30pm with flexibility for occasional early meetings, and the position is hybrid with four days onsite and Fridays remote.
Key Responsibilities:
- Provide administrative support to the executive, including managing correspondence, documents, and sensitive information
- Assist with family office operations such as vendor coordination, bill pay workflows, record‑keeping, and liaising with banks, advisors, and external service providers
- Support logistics for the principal’s family, including coordination with household staff and scheduling related to two professional musician daughters
- Assist with arts- and philanthropy‑related initiatives, including contribution tracking, acknowledgment letters, and special projects
- Support business‑adjacent activities as needed, including helping the existing EA when she is offsite or unavailable
Qualifications:
- 4+ years of administrative experience; prior work in family office, arts/nonprofit, or HNW support environments strongly preferred
- Bachelor’s degree required
- Warm, personable, friendly presence with excellent interpersonal skills
- Highly organized, detail‑oriented, and proactive with the ability to handle evolving priorities
- Experience handling confidential information with discretion; strong follow‑through and anticipation skills
