Our client is seeking an onsite Office Manager to support a busy, hybrid team of ~50 employees at their Quincy office. This role is ideal for a proactive, organized professional who enjoys creating a smooth-running, professional workplace and supporting multiple teams.
Hours: 40 hrs/week (8:30 AM-5:00 PM or 9:00 AM-5:30 PM) with 30 min unpaid lunch
Duration: 3+ months (temporary to start with strong potential for permanent placement)
Pay: Mid $30s/hr depending on experience
Key Responsibilities
- Serve as the main liaison with building/property management and vendors.
- Oversee office operations, including common areas, mail, and supply management.
- Greet visitors and manage the reception area with a professional demeanor.
- Support onsite meetings and events in coordination with Executive Assistants.
- Assist with finance-related administrative tasks including onboarding for T&E programs, accounts payable, and customer credit files.
- Manage special office projects, enhancements, and internal communications.
- Ensure accurate and timely handling of invoices, check payments, and related administrative workflows.
Candidate Qualifications
- 3-5 years of office management, administration, or facilities coordination experience.
- Strong organizational skills with the ability to manage multiple priorities.
- Professional communication and customer service orientation.
- Experience managing vendors and coordinating with building/property management.
- Familiarity with Microsoft Office Suite; experience with T&E programs, Concur, or basic accounting processes is a plus.
- Attention to detail, problem-solving ability, and comfort working independently.
