Our client, a Prestigious Law Firm located in FiDi, Manhattan is seeking to hire a Temporary-to-Permanent Client Concierge to provide excellent, professional service to firm guests and staff, via phone, email and in-person. This position will start ASAP, requiring 5 days/week on-site within the hours of 8am-6pm (3 different shifts, 35-hour week). Successful candidates will understand the value of creating a positive and professional experience in any environment for both staff and their guests.
Responsibilities:
- Greet and assist Firm clients and guests in a prompt and professional manner, providing appropriate information, directing to appropriate destination and ensuring a top tier guest experience for all
- Answer calls to the office main line or individual reception desk phone in a professional manner and forward calls as appropriate
- Coordinate main line phone coverage across offices as needed
- Anticipate client or guest needs in order to accommodate them and provide an exceptional experience
- Manage conference room reservation requests, confirming technical and presentation needs, furniture arrangement and catering requirements
- Monitor conference room activity and update status changes on room usage as needed
- Proactively confirm next day and following week reservations are complete and accurate and communicate to all stakeholders
- Maintaining readiness of meeting rooms, liaising with IT and catering departments to ensure all other relevant equipment/catering are set up before the commencement of each meeting
- Ownership of Visiting Attorney requests
- Position is considered essential staff and will be required to come into the office as needed
- Arrange for building access for all clients or guests
- Inform client or guest of Wi-Fi services
- Report any building/facilities/janitorial/security issues to the appropriate manager or department; maintain professionally clean Reception desk and seating area
- Manage loaner card inventory, issuance and follow up on outstanding cards
- Handle requests for assistance, information and general inquiries promptly and courteously Identify complex problems and review related information to develop and evaluate options and implement solutions
Qualifications:
- 3 + years of concierge/guest services experience in a legal or professional services environment; prior hospitality or airline industry experience is desirable
- Professional appearance and friendly demeanor
- Excellent leadership skills
- Strong organizational skills and the ability to manage your time well, prioritize effectively, and handle multiple deadlines
- Well developed and professional interpersonal and communications skills; ability to interact effectively with people at all organizational levels of the Firm
- Must have a customer service oriented mindset and be capable of making every client or guest feel valued
- Good computer, data entry and technical skills (e.g. Microsoft Office suite, including Word, Outlook and Excel)
- Knowledge of basic office equipment, including printers, scanners, copiers, etc.
- Possess a positive attitude and be willing to work as part of a team
- Ability to speak a second language is an asset
- Availability to work flexible hours and weekends
Compensation/Benefits:
- 60-72K DOE + Paid OT + Discretionary Bonus
