Our client, a Fine Art Investment Firm located in Downtown Manhattan, is seeking to hire a Temporary Office Coordinator for a 1-3 month assignment with flexibility to extend. This role will start ASAP and will be in office 5 days/week. Hours are 9am – 5pm.
Responsibilities:
- Manage the front desk, act as the first point of contact for visitors and guests, providing a warm welcome and ensuring a positive experience.
- Manage the building security list and ensure compliance with security protocols.
- Assisting employees with deliveries, making reservations, meeting set up, etc.
- Coordinate daily lunch catering and ensure timely delivery of meals. (ordering lunch, assisting with set-up and clean-up)
- Monitor and manage pantry and office supplies inventory, ordering supplies as needed and ensuring cost-effective procurement.
- Budget management for office-related expenses
- Own emergency preparedness in the office (fire drills)
- Manage a housekeeping staff of two full-time employees, assisting as needed.
- Addressing any maintenance or facility-related issues promptly.
- Handle vendor management, including liaising with external vendors and building management.
- Assist in planning and executing social and engagement events to foster team spirit.
Qualifications:
- 2+ years experience working in administrative or office management roles with over 75 employees
- Professional working proficiency in Spanish, a plus
- Full-time, in-office availability with flexibility in working hours when necessary to attend after work events, or oversee maintenance.
- Self-motivated, energetic, and positive attitude with a willingness to tackle any task, no matter how small.
- Punctual, reliable, and deadline-driven personality.
- Excellent communication and interpersonal skills, with the ability to interact professionally with all levels of staff and external contacts.
- Strong organizational and multitasking abilities, with a keen eye for detail.
- Proficiency in Google Suite and calendar management.
- Bachelor’s degree or equivalent experience preferred.
Compensation/Benefits:
- DOE up to $25/hr
