Our client is seeking a highly proactive Executive Assistant to support two Co‑Heads within the Human Capital Group of a global investment bank. This role requires exceptional organizational skills, strong judgment, and the ability to manage intense, fast‑moving calendar workflows with competing priorities. The hours are 9:00am-6:00pm with some flexibility, and the position follows a hybrid model with four days onsite (Monday-Thursday) and Fridays remote.
Key Responsibilities:
- Manage heavy, complex calendars for two Co‑Heads of HR, prioritizing rapidly evolving schedules and ensuring seamless transitions between meetings
- Act as gatekeeper for senior leadership by screening calls, managing inquiries, and coordinating across internal stakeholders
- Coordinate domestic and international travel, conference registrations, and detailed itineraries
- Prepare and process expense reports in Workday; manage confidential information with care and discretion
- Liaise across multiple departments to schedule meetings, resolve conflicts, and support team operations
- Provide administrative support including document preparation, scanning, printing, conference room reservations, and internal meeting support
Qualifications:
- 8+ years of Executive Assistant experience supporting senior leaders in fast‑paced environments; finance or professional services strongly preferred
- Highly organized, punctual, detail‑oriented, and able to manage intense scheduling volume
- Strong communication and interpersonal skills with polished, professional presence
- Ability to anticipate needs, prioritize under pressure, and work with multiple leadership styles
- Proficiency in Microsoft Office Suite and familiarity with Workday preferred
- Strong judgment, confidentiality, and ability to seamlessly support multiple executives
