Our client, a shared services entity supporting an asset management firm, is seeking an experienced Temporary Executive Assistant to support one of their portfolio companies within. This position will serve for 1-2 months to help cover a leave and will work in-office Monday-Thursday and remotely Friday between the hours of 9-5 with flexibility for overtime. Compensation is up to $50 DOE.
Primary Responsibilities
- Screen incoming calls and greet guests in a professional and courteous manner
- Extensive calendar management – daily management of scheduling & rescheduling appointments, communicating to attendees, exercising a flexible approach to changing schedules, ensuring appointments are met
- Prioritize conflicting needs; handle all matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures
- Arrange complex travel plans and compose detailed itineraries, obtain necessary travel documents and visa coordination
- Schedule and organize meetings, conferences, and off-site events including all related logistics
- Plan strategic meetings, update marketing materials and coordinate social events for clients
- Allocate and process expenses for executives, including Out of Pocket expenses
- Compose strategic communications such as letters, memos, invitations, agendas and correspondence related to all projects and on behalf of executives. Edit for accuracy and clarity of final copy; proofread for spelling, grammar, format for consistency and make the appropriate changes
- Handle recruitment coordination and logistics for new employees on the team
- Use US Mail, FedEx, and other services to send and track priority mail
- Coordinate closely with team and other assistants to provide phone coverage and back-up assistance
- Manage work priorities independently and respond to business outside of normal business hours as needed
- Perform other related general administrative tasks for executives as assigned and required
Qualifications & Experience
- Bachelor’s degree highly preferred, or 5+ years of executive administrative experience (or equivalent).
- Strong background supporting senior executives in fast-paced environments, ideally finance/investment banking.
- Demonstrated ability to prioritize multiple demands and meet deadlines.
- Proactive, resourceful, and solutions-oriented with strong ownership of responsibilities.
- Exceptional interpersonal skills with poise, tact, and diplomacy when handling sensitive/confidential matters.
- Superb written and verbal communication skills, with strong attention to detail in drafting and proofing.
- Collaborative, team-oriented approach with ability to partner effectively across functions.
- Advanced proficiency in Microsoft Outlook, with solid working knowledge of Word, Excel, and PowerPoint.
- Familiarity with standard office procedures and technology.
- Finance industry experience a plus but not required.
