Our client, a well known beauty brand, is seeking a Temporary Business Support II candidate for a ~3 month assignment in their Hudson Yards office. This role requires 5 days on site with a total of 40 hours a week. The assignment will start on March 2nd and will continue through June 2026. This opportunity pays up to $39.55/hr.
Responsibilities:
Order Form Management
- Work with supervisor to compile and execute all Launch and Basic order forms via an order form process which includes transition from launch to basic, product updates to adds & deletes, master data updates and changes to order forms.
- Execution of order forms includes communication of all launches, promotions, discontinuations (with stop ship dates), and SKU detail changes to the Commerce Team.
- Collect product availability reports from DP/Marketing partners to highlight and communicate any changes Commerce Team and various other partners.
- Work with supervisor on promotional order forms (sets) to align on allocation method, entry details and timeline.
Allocations: Launch / Promotional/ Non-Saleable
- Launch:
- Responsible for maintaining pertinent allocation files.
- Alignment with Supervisor on allocation level and retailer strategy relating to exclusives and leads.
- Entry into the allocation system with follow through to close.
- Promotions/Gift Sets: Varies by Brand
- Obtain from Marketing seasonal gift sets order forms.
- Compile and prepare set allocation file to include sell thru performance of previous season sales history, current
- year’s production and any retailer requests.
- Work with Supervisor to determine allocation direction and prepare proposed allocations to review with
- Commerce and Marketing.
- Enter in allocation system and provide reporting to show allocation vs. ordered to monitor shipments and
- provide visibility to excess by product by account.
- Non-Saleable (Collateral, Samples, displays, testers):
- Obtain allocation details on order forms and enter allocation by account.
- Add and change no cost items in the allocation system as needed.
Administration Tasks for Order Management
- Quota Violations – Run and publish daily order quota violations reports. Collaborate with Commerce, Marketing and Supply to assist supervisor with decisions and adjustments.
- Order Form Files – Continuously review/update with all relevant changes to provide all partners.
- Discontinued Product – Communicate Discontinuation product lists for product renovations and formula/sizes to the basic order form and communicate to Commerce to coordinate with retailer to minimize returns.
- SRP Price Changes-Aid supervisor in facilitating SAP checks and the communication of SRP price change lists/process to the Commerce Team to share with the retailers.
- No Cost/Sample/Merchandising Files – Varies by Brand. Collect from the BU’s all no cost/display merchandising files used to assist in allocations.
Qualifications:
- Bachelor’s degree required
- 1-3+ years in Administration / Analysis or like job field
- Good Communication Skills
- Good Analytical, Project Management and Collaboration skills
- Good Proficiency in Excel, PowerPoint & Word. Other data base proficiency such as Power BI a positive
- Good organizational skills and ability to manage multiple business priorities concurrently
- Ability to work cross functionally
- Prior experience working with an SAP environment a plus
- Positive attitude, team collaboration and good people skills
