Our client is seeking a highly organized and proactive Business Support Administrator to support the CEO at a growing investment management firm. This role requires exceptional attention to detail, strong communication skills, and the ability to anticipate needs while managing a fast‑paced, high‑volume executive schedule. Hours are 9:00am-6:00pm with flexibility to stay later as needed, and the position is hybrid with three days in office (Tuesday-Thursday).
Key Responsibilities:
- Manage a heavy, back‑to‑back calendar for the CEO and ensure seamless daily flow
- Coordinate complex domestic and international travel, meetings, and event logistics
- Process invoices, approvals, and expense reports
- Liaise with IT, building management, and external service providers as needed
- Support office operations including supplies, pantry management, and general space upkeep
- Serve as backup for mainline phone coverage with strong phone etiquette
- Prepare presentations and assist with PowerPoint and Excel work
- Provide additional administrative support to a second Business Support Administrator and select executives
- Offer thoughtful, anticipatory support that aligns with the CEO’s preferences and working style
- Participate actively in fostering a positive, engaged office culture
Qualifications:
- 5+ years of administrative experience supporting senior or C‑suite leaders
- Experience in finance or professional services highly preferred
- Strong communication and interpersonal skills
- Exceptional organizational ability with strong attention to detail
- Ability to multitask, manage competing priorities, and operate independently
- High level of discretion, reliability, and emotional intelligence
- Proficiency with Microsoft Office required
- Energetic, nurturing, and able to build trust with an executive who values consistency and loyalty
- Bachelor’s degree preferred
