Our client, a private equity firm located in Midtown, Manhattan is looking for a Temporary Executive Assistant for a maternity leave coverage. This position requires an equal blend of high-volume executive support (to two very high performing, senior level individuals) as well as recruiting coordination through the Summer months. Beginning at the end of March/early April for about 5 months (through Labor Day) and will operate on a 4-1 hybrid schedule between the hours of 8:30am-5:00pm. Compensation is DOE.
Responsibilities
Executive Support:
- Provide high-touch executive support to two extremely busy Senior MDs, including high volume scheduling and travel coordination
- Manage back-to-back calendar flow; build in travel time, meals, breaks as needed
- Demonstrate a solution-oriented mindset, always coming prepared with proactive solutions to avoid any conflicts
- Ad-hoc administrative projects upon request
HR/Recruiting Coordination:
- Coordinate all Associate recruiting interviews with agency and internal recruiting team, including use of Greenhouse for scheduling, tracking, and feedback management
- Support VP mid‑year reviews with consolidating feedback and circulating as needed
- Lead logistical planning for July firmwide offsite in partnership with others on the team
- Coordinate August Associate Training program (2‑week program), including scheduling, logistics, and binder/material creation (six large binders)
Qualifications
- 3+ years’ experience supporting senior executives with heavy scheduling & travel; financial services industry experience a plus
- Strong presentation and executive presence
- Recruiting coordination and Greenhouse experience strongly preferred
- HR coordination experience (reviews, feedback consolidation) preferred
- Highly organized; able to manage complex logistics and programs
- Comfortable creating training materials and printed binders
- Able to thrive in a fast-paced, traditional corporate environment
