Our client, a global life sciences consulting firm with an office near Penn Station, is seeking a Long-Term Temp Office Assistant Floater to support their busy NYC office. The team is very busy and needs additional administrative support, and this role is critical to helping operations run smoothly. You’ll be supporting the NYC office with a range of tasks including calendar management, travel coordination, event support, sitting reception (as needed), ordering supplies, and more. This is a great opportunity to work in a dynamic, professional services environment.
Key Responsibilities
- Calendar management for team members as needed
- Booking travel and managing related logistics
- Processing expenses and booking travel in Concur
- Supporting internal events (e.g. booking rooms, managing catering)
- Conference room reservations
- Ordering supplies
- Filling in at reception as needed
- General office support as needed
Qualifications
- A minimum 2+ years of experience in a corporate administrative role
- Prior experience in a professional services environment strongly preferred
- Ability to operate efficiently and autonomously with limited direction
- Willingness to jump in to help wherever needed
- Strong organizational and multitasking skills
- Excellent communication and interpersonal abilities
- Friendly, warm, and resourceful personality
- Must have experience booking travel & reconciling expenses using Concur
- Comfortable navigating ambiguity (“operating in the grey”)
- Bachelor’s degree preferred
