A well‑established professional services firm headquartered in Chicago is seeking an Operations Specialist to support its Chicago headquarters and provide broad administrative, operational, and event‑related support across the firm. This is a fast‑paced, dynamic position well suited for someone who is highly organized, exercises strong judgment, and is comfortable managing shifting priorities. This role requires on‑site presence five days per week.
Key Responsibilities
- Ensure smooth daily operation of the Chicago office while sitting at the front desk; serve as primary contact with building management and vendors
- Manage office logistics including supplies, equipment, mail, and general upkeep; sit at reception desk to greet visitors
- Provide administrative support to Partners and senior leaders, including calendar management and meeting coordination as needed
- Prepare presentations, communications, and documentation using Word, Excel, and PowerPoint
- Participate in confidential meetings and produce accurate summaries and follow‑up materials
- Plan and coordinate travel arrangements
- Maintain confidential company and client files in a digital environment
- Serve as liaison with the firm’s IT managed services provider
- Partner with Marketing to support internal and external events, conferences, and social media updates
Qualifications
- 3+ years of experience in an office management or operational office support role
- Bachelor’s degree required
- Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams); QuickBooks
- Proven discretion, professionalism, and strong work ethic
