The Executive Assistant will provide high‑level administrative support to a group of executives while also playing a critical role in the opening of a new office location. This is a highly visible, hybrid role for an experienced EA who thrives in a dynamic environment, enjoys building structure, and is comfortable balancing executive support with hands‑on office and operational responsibilities.
Key Responsibilities
- Provide dedicated administrative support to a variety of executives, including calendar management, scheduling, and meeting coordination
- Coordinate meeting logistics, travel, and expense reporting as needed
- Serve as a key partner in the launch of the new office, helping to build processes, workflows, and standards from the ground up
- Support office management activities including coordination with IT, facilities, vendors, and building management
- Support executive and firm‑wide initiatives, events, and special projects
- Identify operational gaps or inefficiencies and proactively implement solutions
- Partner with colleagues in the Chicago office to ensure alignment and consistency
- Support internal events such as meetings, team lunches, offsites, and celebrations
Qualifications
- 5+ years of experience as an Executive Assistant or Senior Administrative professional, ideally supporting multiple executives
- Experience in private equity, finance, professional services, or a similarly fast‑paced environment preferred
- Demonstrated ability to balance executive support with operational and office management responsibilities
- Highly organized, detail‑oriented, and able to prioritize competing demands effectively
- Resourceful, flexible, and solutions‑oriented with a proactive mindset
