Our client, a human services organization located in Brooklyn is looking for a Temporary Administrative Assistant to SVP – Real Estate Strategy & Systems to join their team. This position will serve from a 2-month contract and will operate on an in-office 35 hour work week schedule between the hours of 8:30 am – 5:00 pm. Compensation is $20/hr.
Responsibilities:
- Provide high-level administrative support to the SVP
- Manage scheduling, correspondence, and task tracking
- Assist with meeting preparation, agendas, and note-taking
- Coordinate FEDEX shipping and departmental communications
- Track and manage department assets (computers, vehicles, etc.)
- Create and distribute monthly departmental newsletter
- Manage Staples and Home Depot business accounts and supply ordering
- Coordinate vendor orders and assist with procurement
- Manage petty cash and credit card reconciliations
- Process invoices and support financial tracking
- Assist with training scheduling and preparation of materials
- Maintain physical and electronic records and serve as record custodian
- Utilize Iron Mountain for document storage and retrieval
- Assist with policy and process documentation
- Support departmental projects, data management, and special initiatives
Qualifications:
- High school diploma or GED required
- Associate’s degree preferred
- 6+ months of relevant administrative experience
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Strong organizational, communication, and problem-solving skills
- Experience with records management and database systems
- Ability to manage multiple priorities independently
