Private Wealth Fund located in Midtown, Manhattan is looking for a Temporary Expense Administrator to join their team for 3-6 months with potential to extend. This position will operate on an in‑office schedule 5 days/week from 9am-5:30pm (40 hour week). Compensation is up to $46/hr.
Responsibilities:
- Prepare, review, and submit monthly and ad hoc expense reports on behalf of 8-10 Senior Vice Presidents using Workday
- Ensure all expense submissions are accurate, properly coded, supported by required documentation, and compliant with company policies
- Track outstanding receipts and follow up with executives to ensure timely completion
- Reconcile corporate credit card statements against submitted expenses and flag discrepancies
- Coordinate with Finance and Accounts Payable to resolve processing issues or rejected reports
- Provide light calendar management support for assigned SVPs, including scheduling meetings, managing conflicts, and coordinating across time zones
- Maintain organized records of all expense submissions and supporting documentation
- Assist with other administrative tasks as needed
Qualifications:
- 3+ years of experience in expense administration, executive support, or a related administrative role
- Workday experience required, specifically in expense reporting and financial modules
- Proficiency in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint)
- Experience supporting multiple senior-level executives simultaneously
- Strong attention to detail with a high degree of accuracy
- Excellent organizational and time management skills with the ability to prioritize competing deadlines
- Professional communication skills and discretion when handling sensitive financial information
- Experience in financial services is a plus
