Our client, a leading global financial services firm headquartered in Midtown East, is seeking a long-term temp Administrative Assistant to provide backup support for their Global Head of Marketing (+team) and their Global Head of Corporate Affairs. This person will be working to provide backup support to their two lead assistants in the department, helping wherever needed with calendar, travel, expenses, and ad hoc administrative projects as needed. This role starts ASAP, just as soon as we can find the right candidate. This is a long-term temp with an open-ended temp contract (the role isn’t going away). This person should have experience supporting high-level executives, be able to predict needs, and balance competing priorities. This role is fully onsite, Monday – Friday. The in-office hours will vary as this person will stagger their schedule with the 2 lead assistants (it will be an 8-hour day, starting somewhere between 8am-9:30am and ending between 5pm-6:30pm depending on the week). This person should have flexibility to be reachable/ work OT if things come up after hours or over the weekend, especially for travel-related matters). The hourly pay rate is up to $45.00/hr (dependent on experience).
Responsibilities:
- Heavy calendar management – scheduling/rescheduling calls and meetings for team
- Booking travel
- Reconciling expenses.
- Answering the phones.
- Helping with event coordination.
- Ad hoc administrative projects as needed.
Qualifications
- Minimum of 3-5+ years of solid administrative experience. Must have some experience out of financial services.
- VERY strong attention to detail.
- Experience supporting high-level executives as well as a team of professionals.
- Concur experience required.
- Familiarity with Microsoft Office Suite.
- Heavy scheduling experience.
- Team player.
- Degree preferred.
