Our client, a clinical-stage biotech company in Waltham, MA is seeking a Front Desk & Workplace Experience Coordinator to support daily office operations and provide a high level of employee and guest service. This is a 100% onsite, open-ended temporary role starting immediately, working 4-5 days per week from 8:30 AM-5:00 PM Monday-Thursday with some flexibility for Fridays. Pay is $30/hour with free parking available. The environment is fast-paced and service-oriented, requiring strong front desk presence and administrative support.
Job Responsibilities
- Manage front desk operations and serve as the primary point of contact for visitors and employees
- Coordinate guest check-in, wayfinding, and overall visitor experience
- Support employees with day-to-day office needs and scheduling requests
- Oversee conference room setup, readiness, and meeting logistics including catering and A/V
- Handle administrative tasks such as scheduling, data entry, and general coordination
- Manage mail, packages, and office supply inventory
- Maintain organization and cleanliness of shared spaces including pantry and meeting areas
- Assist with office events, internal communications, and workplace initiatives
- Ensure adherence to visitor management and security protocols
Candidate Qualifications
- 1+ years of front desk, administrative, hospitality, or office support experience
- Strong communication and interpersonal skills with a service-oriented approach
- Highly organized with the ability to multitask and adjust to changing priorities
- Comfortable handling last-minute requests in a fast-paced environment
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
- Ability to handle sensitive information with discretion
- Professional, polished demeanor with a hands-on approach
