Our client, a top global law firm, is seeking a highly experienced Executive Assistant to support a Vice Chairman within a global professional services organization. This is a highly visible EA role requiring exceptional judgment, executive presence, and discretion in a fast‑paced environment. The role partners closely with a newly appointed Chief of Staff and supports a leader with a complex global schedule. Hours are typically 9:00am-5:30pm (occasionally 6:00-6:30pm as needed), with responsiveness needed after traditional hours to respond to travel and scheduling changes. The position is based in New York and follows a hybrid schedule after onboarding.
Key Responsibilities:
- Provide trusted, high‑level executive support to the Vice Chairman in a global, client‑facing environment
- Manage complex, back‑to‑back calendars across time zones, anticipating conflicts and proactively resolving issues
- Coordinate frequent domestic and international travel, including flights, car services, accommodations, and restaurant arrangements
- Serve as a proactive gatekeeper, exercising sound judgment on priorities and time allocation
- Prepare, edit, and proofread executive‑level communications, presentations, and materials using Word, Excel, and PowerPoint
- Manage heavy expense reporting and financial documentation
- Coordinate firm initiatives, events, and executive meetings, ensuring seamless logistics and follow‑through
- Liaise internally with partners, senior stakeholders, and administrative teams across offices
- Handle sensitive personal support as needed (passports, visas, medical, family matters, personal finances)
- Maintain the highest standards of confidentiality, discretion, and professionalism
- Operate independently with executive‑level presence, often connecting the dots with limited instruction
Qualifications:
- 10+ years of Executive Assistant experience supporting C‑suite or senior global leaders
- Experience in legal or professional services environments preferred but not required
- Strong executive presence with the ability to interact confidently with partners, clients, and senior stakeholders
- Exceptional organizational skills with meticulous attention to detail
- Proven ability to manage global schedules, heavy travel, and competing priorities
- Highly proactive, intuitive, and able to anticipate needs
- Excellent written and verbal communication skills
- Advanced proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
- High emotional intelligence, maturity, and discretion
- BA/BS preferred
Compensation/Benefits:
- Up to $170K base salary + discretionary bonus
