Our client is seeking a high‑caliber Executive Assistant to support two Co‑Founders at a boutique, long‑term private investment firm. This is a high‑trust, high‑visibility EA/PA role in a small, collegial office where relationships, discretion, and execution matter deeply. The role is split approximately 60% business support and 40% personal support and is best suited for someone who enjoys both sides equally. The firm is intentionally small and stable, offering a close‑knit environment with strong culture and longevity. The role has the flexibility to operate on a hybrid (4/1) schedule in Tribeca, with seasonal remote flexibility.
Key Responsibilities:
- Provide full‑scope executive support to two Co‑Founders in a true EA/PA capacity
- Manage complex, fast‑moving calendars including board meetings, investor meetings, and external commitments
- Coordinate meetings end‑to‑end, including logistics, materials distribution, and follow‑up
- Arrange domestic and international travel, including private aviation, commercial flights, hotels, ground transportation, and detailed itineraries
- Prepare and submit expense reports accurately and in a timely manner
- Serve as a polished, professional point of contact for limited partners, portfolio company CEOs, advisors, and senior external stakeholders
- Maintain contact records, assisting with CRM and pipeline updates
- Partner closely with the existing EA on office operations, visitor management, lunches, and vendor coordination
- Provide light project support and assist with firmwide initiatives as needed
- Support large‑scale events such as annual meetings or team gatherings (occasional travel may be required)
Personal Support:
- Coordinate logistics across multiple residences, including vendor management and household projects
- Partner with spouses on family scheduling, planning, and ad hoc needs
- Assist with children’s school logistics, activities, and appointments as needed
- Plan and book personal travel and vacations end‑to‑end, including accommodations, dining, activities, and transportation
- Coordinate private aviation for both business and personal travel
- Handle errands, gifting, reservations, and personal appointments with discretion and care
Qualifications:
- ~4+ years of experience supporting senior executives or principals in a fast‑paced environment
- Financial services or investment experience appreciated but not required
- Exceptional judgment, discretion, and comfort handling confidential matters
- Strong organizational instincts with a “no task too big or too small” mindset
- High attention to detail and strong follow‑through
- Excellent written and verbal communication skills
- Strong technology fluency (Microsoft 365 or Google Workspace, CRM tools, video conferencing, expense platforms)
- Ability to anticipate needs, stay calm under pressure, and adapt to shifting priorities
- Warm, professional, and approachable demeanor that reflects well on leadership and the firm
- Willingness to be available for time‑sensitive matters on evenings or weekends (kept reasonable and respected)
Compensation/Benefits:
- Competitive base salary up to ~$150K + discretionary bonus
