Our client is seeking a service‑oriented Office Coordinator to support a high‑end New York office within a global private equity firm. The ideal candidate is warm, proactive, and thrives in a “white‑glove” environment while acting as the go‑to person for the office. Hours are 8:30am-5:30pm, fully onsite five days per week.
Key Responsibilities:
- Serve as the primary front‑of‑house presence, creating a welcoming, high‑touch experience for employees and guests
- Manage conference room scheduling, catering, and meeting logistics
- Coordinate and execute internal events, team gatherings, and office activations
- Partner with internal teams to support meetings and office initiatives
- Oversee pantry, lunch programs, snacks, and office amenities
- Maintain office presentation, ensuring spaces are clean, stocked, and client‑ready at all times
- Liaise with building management and vendors for facilities needs and repairs
- Manage visitor registration, access, and overall guest experience
- Track and coordinate vendors, invoices, and service requests
- Support onboarding logistics and employee experience initiatives
- Act as a “catch‑all” for office needs and ad hoc projects
Qualifications:
- 3+ years of experience in office coordination, reception, or hospitality
- Background in high‑end hospitality or professional services strongly preferred
- Strong communication skills with a polished, client‑facing demeanor
- Highly organized with strong attention to detail
- Proactive, self‑starter mindset with ability to take ownership
- Comfortable interacting with senior stakeholders and a wide range of personalities
- Ability to multitask and operate in a fast‑paced environment
- Proficiency in Microsoft Office and general systems
- Bachelor’s degree required
Compensation/Benefits:
