We are partnering with a highly regarded law firm in downtown Chicago to hire an Office Operations Administrator. This is a great opportunity for someone who enjoys owning both the operational and financial side of a business and wants to be a key contributor to a tight-knit, professional team.
This role is ideal for someone with a legal or professional services background who thrives in a hands-on environment and can balance accounting, office management, and light marketing support.
What You’ll Be Doing
- Oversee daily office operations to keep everything running smoothly
- Handle full-cycle accounts payable including vendor payments, deposits, and reconciliations
- Manage budget tracking, inventory, and vendor relationships
- Maintain accurate financial records and resolve discrepancies
- Reconcile bank accounts, payroll, and benefits statements
- Administer employee benefits including enrollments and updates
- Manage payroll and employee data through Paychex Flex
- Coordinate insurance renewals and vendor relationships
- Support attorneys with business development and marketing initiatives
- Prepare proposals, newsletters, and client-facing materials
- Maintain the firm website and assist with digital content updates
- Process expense reports and assist with month-end close
What They’re Looking For
- 3+ years of experience, ideally from a law firm
- QuickBooks experience required, Centerbase is a plus
- Strong understanding of general accounting principles
- Highly organized with excellent attention to detail
- Strong communication skills and ability to work with all levels of the firm
- Discreet with confidential information
- Proficient in Microsoft Office, especially Excel
- Ability to manage multiple priorities and meet deadlines
