Our client, a well-established private investment firm, is seeking a highly capable Executive/Personal Assistant to support its Founder & CEO. This is a dynamic, high-visibility role that blends executive support with personal and family coordination, requiring exceptional judgment, discretion, and a hospitality-first mindset.
About the Job:
- Provide comprehensive executive and personal support across business, personal, and family priorities
- Manage a highly dynamic, multi-layered calendar with shifting priorities and time-sensitive demands
- Coordinate complex domestic and international travel, including private aviation, commercial flights, and ground transportation
- Develop detailed, proactive itineraries with contingency planning (logistics, timing, preferences, and backup plans)
- Serve as a trusted liaison with internal teams, family office staff, household staff, and external partners
- Exercise strong judgment in prioritizing meetings, including investor-related commitments and schedule changes
- Communicate proactively to ensure seamless execution across all engagements
- Track and support expense coordination across business, personal, and philanthropic activities
- Support special events, extended stays, and on-the-ground logistics during travel as needed
- Anticipate challenges and independently problem-solve, presenting thoughtful solutions and clear rationale
About You
- 2+ years of experience in an Executive Assistant, Personal Assistant, or Administrative Assistant
- A strong sense of ownership, urgency, and pride in your work
- High emotional intelligence and the ability to work effectively with a direct, fast-moving principal
- Excellent written and verbal communication skills, with exceptional attention to detail (editing and proofreading are key)
- Strong organizational skills and the ability to manage competing priorities and pivot quickly
- Comfort operating in a high-responsiveness environment (early mornings/evenings as needed)
- A proactive, resourceful, solutions-oriented mindset
- The ability to receive direct feedback without taking it personally
- Strong technical skills, including Outlook and Excel; interest in leveraging new tools/AI is a plus
- A polished, service-oriented approach with a hospitality or concierge mindset
- A high level of discretion and ability to handle confidential information
- A bachelor’s degree is required for this role
This position will work on a hybrid basis of the organization’s headquarters in Delaware County, requiring an onsite presence 3-4 days a week. Compensation is up to 95,000 annually depending on experience, plus bonus.
