Legal Administrative Assistant / Receptionist
Position Summary
Seeking a Legal Administrative Assistant/Receptionist to provide administrative and front-desk support in a professional legal environment, with a focus on supporting attorneys and paralegals in a Bankruptcy Practice Group. This role requires strong organizational skills, attention to detail, professionalism, and the ability to manage confidential information while delivering excellent client service.
Key Responsibilities
- Answer and direct incoming calls, greet clients and visitors, and provide general office support.
- Manage attorney calendars, schedule meetings, hearings, depositions, and other case-related events.
- Prepare, proofread, edit, and file legal documents, correspondence, and reports.
- Maintain electronic and physical case files and filing systems.
- Support bankruptcy case administration, including tracking deadlines, hearings, court filings, and case status updates.
- Manage docketing and calendar systems, ensuring court deadlines and reminders are accurately maintained.
- Coordinate communications with clients, courts, trustees, creditors, and opposing counsel.
- Assist with electronic filing, document management, billing, timekeeping, mail processing, and travel arrangements.
- Maintain Excel spreadsheets, creditor lists, mailing lists, and case-tracking reports.
- Prepare mail merges for notices, correspondence, labels, and other case-related communications.
- Handle special projects and other administrative duties as assigned.
Qualifications
- High school diploma required; associate or bachelor’s degree preferred.
- 2+ years of administrative, legal assistant, or related office support experience.
- Prior law firm experience preferred; bankruptcy experience strongly preferred.
- Experience with docketing, calendar management, and deadline tracking.
- Strong proficiency in Microsoft Office, including Word, Outlook, and Excel.
- Experience with mail merges, document preparation, and filing systems.
- Familiarity with court filing procedures and e-filing preferred.
- Exceptional organizational, communication, customer service, and proofreading skills.
- Ability to maintain confidentiality and work independently in a fast-paced environment.
- Notary commission (or ability to obtain one) preferred/required based on state requirements.
