Our client is seeking a highly professional, operationally minded Office Operations Director / Manager to oversee workplace operations for a leading private equity firm. This is a newly created leadership role responsible for managing office operations, facilities, administrative staff, technology coordination, vendor relationships, and employee experience initiatives. The ideal candidate is a humble, highly effective operator who can build strong internal relationships while confidently advocating for the firm externally. Hours are generally 9:00am-6:00pm, and the role is fully onsite five days per week.
Key Responsibilities:
- Oversee day‑to‑day office operations for a boutique private equity firm
- Directly manage and mentor the administrative team, including Receptionists and Executive Assistants
- Serve as the primary liaison with building management, facilities vendors, and service providers
- Oversee facilities operations, maintenance projects, and workspace management
- Negotiate vendor contracts and service agreements to ensure quality and cost efficiency
- Manage office technology infrastructure in partnership with an external managed service provider (MSP) and serve as the initial escalation point for day‑to‑day IT and workplace technology needs
- Oversee inventory, deployment, and lifecycle management of office equipment and technology
- Coordinate company events, investor meetings, holiday parties, and employee engagement programs
- Oversee administration of travel platforms and corporate card programs
- Identify process improvements and operational efficiencies across the business
- Ensure a seamless and high‑quality employee and visitor experience
Qualifications:
- 10+ years of office operations, workplace management, facilities, or administrative leadership experience
- Strong facilities management and vendor negotiation experience
- Excellent organizational skills with strong attention to detail and follow‑through
- Strong relationship‑building and communication skills
- Ability to operate independently and make sound decisions with minimal oversight
- Tech‑savvy with interest in workplace technology and AI‑driven efficiencies
- Notary certification is a plus (or willingness to obtain)
Compensation/Benefits:
- Up to $130K-$160K base salary + discretionary bonus
