Our client is seeking a polished, proactive Executive Assistant to support senior leaders within the Capital Partnerships team of a leading private investment firm. This is a high-touch, client-facing Executive Assistant role supporting the Head of Capital Partnerships and Head of Private Wealth, requiring exceptional calendar management, travel coordination, and communication skills. The ideal candidate is organized, relationship-oriented, and thrives in a fast-paced environment where attention to detail and proactive support are critical. Hours are generally 9:00am-5:00pm with flexibility as needed for early meetings, late events, and after-hours travel changes, and the role is fully onsite five days per week.
Key Responsibilities:
- Provide executive support to the Head of Capital Partnerships and Head of Private Wealth
- Manage highly complex calendars with extensive internal and external meeting coordination
- Coordinate domestic and international travel, including detailed itineraries and last-minute changes
- Serve as a trusted liaison with investors, limited partners, and external stakeholders
- Manage expense reports and administrative workflows
- Anticipate scheduling conflicts and proactively protect executive time
- Coordinate meeting logistics, conference rooms, catering, and event support
- Partner closely with senior leaders to prioritize commitments and maximize productivity
- Support business development and investor relations activities through seamless administrative execution
- Maintain strong communication with internal teams and administrative partners
- Handle confidential information with professionalism and discretion
Qualifications:
- 3+ years of Executive Assistant or administrative support experience
- Bachelor’s degree required
- Financial services experience preferred; professional services backgrounds also highly regarded
- Experience supporting senior executives in client-facing environments
- Strong calendar management and travel coordination skills
- Excellent written and verbal communication abilities
- Outstanding attention to detail and organizational skills
- Ability to proactively manage priorities and think several steps ahead
- Professional, polished demeanor with strong interpersonal skills
- Positive, collaborative personality with a client-service mindset
- Ability to thrive in a fast-paced, high-expectation environment
