Our client is seeking a highly polished, proactive Executive Assistant / Project Coordinator to support a senior leader within the consulting and leadership advisory practice of a leading global executive search and advisory firm. This is a client‑facing, project‑driven support role requiring exceptional organization, strong judgment, and the ability to independently manage a high‑volume desk. The ideal candidate is a proactive operator who enjoys driving projects forward, managing complex logistics, and serving as a trusted partner to a highly accomplished consultant. Hours are generally 8:30/9:00am-5:00/5:30pm with flexibility as needed, and the role begins with a more intensive in‑office training schedule before transitioning to a hybrid model.
Key Responsibilities:
- Provide high‑level project and administrative support to a senior consultant within the firm’s advisory practice
- Manage complex calendars, scheduling, and candidate/client meeting coordination
- Coordinate domestic and international travel arrangements and logistics
- Prepare and maintain job status reports and project tracking documents
- Proofread and finalize client deliverables, reports, presentations, and correspondence
- Manage database updates and CRM-related activities
- Coordinate client engagements, internal meetings, and consulting project logistics
- Serve as a key liaison between clients, candidates, and internal stakeholders
- Track project milestones and ensure tasks are moving through completion
- Manage multiple competing priorities while maintaining exceptional attention to detail
- Partner closely with colleagues across the firm to ensure seamless project execution
Qualifications:
- 4-6+ years of Executive Assistant, Project Coordinator, or related support experience
- Strong experience with calendar management, travel coordination, and expense management
- Experience in professional services, consulting, executive search, legal, financial services, or similar environments preferred
- Demonstrated ability to manage projects and tasks from start to finish
- Strong proofreading, presentation, and document management skills
- Excellent written and verbal communication abilities
- Highly organized with exceptional attention to detail
- Proactive, resourceful, and comfortable taking ownership of responsibilities
- Strong Microsoft Office skills, particularly Word and PowerPoint
- Proven career stability and longevity in prior roles
Compensation/Benefits:
- Up to $85K-$90K base salary + paid overtime + discretionary bonus
