Our client is seeking a highly organized, proactive Team and Office Coordinator to support a growing philanthropic investment organization focused on climate finance and global impact initiatives. This is a blended office operations, team coordination, and administrative support role requiring strong organizational skills, adaptability, and a willingness to jump in wherever needed. The ideal candidate is collaborative, resourceful, and thrives in a fast‑paced, mission‑driven environment where priorities can shift quickly. Hours are generally 8:30am-5:30pm, and the role follows a hybrid 3/2 schedule.
Key Responsibilities:
- Manage day‑to‑day office operations and ensure the office runs smoothly
- Welcome visitors and create a professional, organized workplace environment
- Coordinate meeting schedules, conference room bookings, and office logistics
- Prepare meeting rooms, materials, and presentations for internal and external meetings
- Support New York‑based team members with scheduling and administrative needs
- Coordinate domestic and international travel arrangements and logistics
- Manage office inventory, supplies, vendors, and deliveries
- Act as the primary liaison with IT vendors and help coordinate resolution of technology issues
- Support onboarding logistics and equipment setup for new employees
- Assist with event planning, office gatherings, and external meetings
- Help draft communications and maintain organizational systems
- Support ad hoc operational projects, workplace initiatives, and strategic assignments as needed
Qualifications:
- Prior experience in office operations, office coordination, executive support, or administrative roles
- Strong calendar management and scheduling experience
- Excellent written and verbal communication skills
- Exceptional organizational skills and attention to detail
- Experience supporting multiple stakeholders and balancing competing priorities
- Proficiency with Microsoft Office, Zoom, Slack, and related productivity tools
- Experience coordinating with vendors and workplace service providers preferred
- Comfort working with technology platforms and interest in AI and process improvement tools preferred
- Experience planning events or managing logistics is a plus
- Adaptable, collaborative, low‑ego mindset with a willingness to wear multiple hats
- Entrepreneurial, startup‑oriented approach and strong sense of ownership
Compensation/Benefits:
- Up to $100K base salary
