Our client, a union association located in Manhattan is looking for a Temporary Production Coordinator to join their team for a 2-month contract supporting a leave. This position will start next week and will operate on an in-office schedule between the hours of 9:00 AM – 5:00 PM. Compensation is $35-40/hr DOE.
Responsibilities:
- Review, evaluate and carry out the process, procedures and methods of labor contract management and production.
- Assist in the management of program activities as assigned by the Manager, Administrative Support Services.
- Supervise administrative staff in absence of Manager, Administrative Support Services. Ensure that administrative support functions are carried out according to departmental guidelines and provide appropriate supervision and direction for all activities of administrative assistants.
- Maintain a working knowledge of all association departments and activities and their interrelationships.
- Maintain status records and files relating to all contracts and see that appropriate detailed information is accurate and handled in appropriate time frames.
- Distribute contract information to all appropriate facilities, departments and offices according to departmental guidelines.
- Perform or supervise all contract revisions and track progress through internal administrative system from negotiation to distribution.
- Write Intent to Modify letters, Requests for Information letters, and FMCS notice
- Update contract language and editing, and distribution
- Maintain tracking record of all contract production timelines.
- In the absence of the Manager, perform confidential administrative functions for the Program Director.
- In the absence of the Manager, supervise administrative assistants in the Latham office. Ensure the accurate, efficient and timely administration of duties.
- Provide ongoing staff services as defined and delegated by the Manager, Administrative Support Services, for the purposes of management of the administrative processes within the NYC office.
Qualifications:
- 2+ years of Executive Assistant, Administrative Assistant, Contracts Coordinator, or related experience
- Strong Microsoft Word skills, including Track Changes, accepting/rejecting edits, and document version control
- Proficiency in Microsoft Excel
- Database experience
- Strong proofreading and document review skills
- Excellent organizational and communication skills
- Ability to coordinate across multiple departments and stakeholders
- Detail-oriented with strong follow-through
- Ability to lift up to 30 pounds as needed
- Associate’s or Bachelor’s degree required
