Our client is seeking a highly organized, proactive Project Coordinator to support a senior consultant of a leading global executive search and leadership advisory firm. This is a client-facing, project-driven support role requiring exceptional organization, strong communication skills, and the ability to manage multiple priorities simultaneously. The ideal candidate is detail-oriented, relationship-focused, and comfortable serving as a key liaison between clients, candidates, and internal stakeholders while helping drive executive search engagements from start to finish. Hours are generally 8:30/9:00am-5:00/5:30pm with flexibility as needed, and the role follows a hybrid schedule of 2-3 days onsite per week after training.
Key Responsibilities:
- Provide project and administrative support to a senior consultant
- Coordinate complex candidate and client interview scheduling across multiple time zones
- Manage calendars, meeting logistics, and travel arrangements
- Prepare and maintain job status reports, project trackers, and engagement documentation
- Proofread, edit, and finalize client presentations, reports, and deliverables
- Manage database updates and proprietary CRM activity
- Serve as a key liaison between clients, candidates, and internal stakeholders
- Support executive search engagements from initiation through completion
- Coordinate project timelines, follow-up activities, and deliverables
- Maintain highly organized records, files, and search documentation
- Manage multiple concurrent searches and workstreams while maintaining accuracy and responsiveness
- Assist with special projects and administrative initiatives as needed
Qualifications:
- 5-7+ years of Executive Assistant, Project Coordinator, or related support experience
- Professional services experience strongly preferred (consulting, executive search, legal, financial services, etc.)
- Strong experience managing calendars, travel, expenses, and project workflows
- Demonstrated ability to manage projects from start to finish
- Client-facing experience with strong communication and relationship management skills
- Excellent proofreading, document preparation, and presentation skills
- Exceptional organizational abilities and attention to detail
- Ability to multitask and prioritize in a fast-paced environment
- Strong Microsoft Office skills, particularly Word and PowerPoint
- Proven career stability and longevity in prior roles
- International exposure or familiarity working across global teams is a plus

- Up to $100K base salary + paid overtime + discretionary bonus
