Our client is seeking a highly organized, proactive Manager of Administration to oversee office operations, administrative staff, and workplace services for the New York office of a nationally recognized law firm. This is a senior leadership role responsible for managing the administrative team, partnering closely with office leadership, and ensuring exceptional service delivery across office operations, facilities, staffing, and employee engagement. The ideal candidate is relationship-oriented, operationally strong, and enjoys balancing people management with hands-on execution. Hours are generally 9:00am-5:00pm, and the role follows a hybrid schedule with four days onsite and one day remote.
Key Responsibilities:
- Lead and manage the New York administrative support team, including Executive Assistants, Administrative Assistants, Operations staff, and other business professionals
- Serve as a trusted partner to office leadership on employee engagement, culture, operational strategy, and office initiatives
- Oversee day-to-day office operations, staffing, workflow management, and service delivery
- Manage performance, coaching, professional development, and annual reviews for administrative staff
- Partner with Human Resources on employee relations matters, performance management, recruiting, onboarding, and offboarding
- Support hiring efforts and participate in business professional recruitment decisions
- Oversee facilities, conference services, workplace experience, office security, vendor relationships, and building operations
- Manage office budgets, financial reporting, invoice approvals, and operational expenses
- Partner with the CAO and leadership team on office build-outs, space planning, and workplace projects
- Monitor service standards and continuously identify opportunities for operational improvement
- Support business continuity planning, employee communication, and office-wide initiatives
- Manage PTO approvals, staffing coverage, scheduling, and resource allocation across the office
Qualifications:
- Bachelor’s degree required
- 4+ years of office administration, administrative management, operations management, or related leadership experience
- Previous experience managing teams of 10+ employees preferred
- Law firm experience strongly preferred, though candidates from other professional services environments will be considered
- Experience managing administrative professionals, office operations, and workplace services required
- Human Resources exposure including performance management, employee relations, recruiting, and coaching preferred
- Strong leadership, people management, and team development abilities
- Excellent business judgment and problem-solving skills
- Strong financial acumen and budget management experience
- Exceptional written and verbal communication skills
- High level of professionalism, discretion, and confidentiality
- Strong Microsoft Office skills, including Word, Excel, and PowerPoint
Compensation/Benefits:
- Up to $200K base salary + bonus
