Our client, a new and rapidly growing VC-backed investment firm is seeking a highly organized, polished, and proactive Temp to Perm Executive Assistant/Office Manager to support the firm’s two founders during an exciting growth phase. This individual will serve as a trusted partner, managing calendars, travel, scheduling, and day-to-day logistics while also overseeing office operations for the firm’s new headquarters. As the firm expands, office management responsibilities will transition to a dedicated hire, allowing the role to evolve into a pure Executive Assistant position supporting the founders. This role starts ASAP (ideally within 2 weeks) with an estimated 3-month temp trial period. This role is fully onsite Monday-Friday in their new Midtown office. The hours are 9am-5pm with flexibility to respond to urgent matters after-hours. Salary is 150K-170K DOE on an annual base; hourly pay rate while temping in-line.
Responsibilities:
Executive Support
- Manage complex calendars for the founders
- Coordinate meetings with investors, business partners, and internal stakeholders
- Arrange domestic and international travel
- Prepare meeting logistics and itineraries
- Handle scheduling conflicts and shifting priorities
- Serve as a gatekeeper and trusted point of contact
Office Management
- Answer phones and greet visitors
- Coordinate conference room scheduling
- Offer hospitality to guests, including coffee and refreshments
- Maintain office supplies, pantry, and kitchen organization
- Liaise with building management and outside vendors
- Help establish office processes and procedures
- Support the opening and ongoing management of the firm’s new office
- Handle ad hoc administrative projects
- Assist with firm events and team activities
- Provide whatever support is needed in a fast-paced startup environment
- Contribute to building a positive office culture
Qualifications
- Prior Executive Assistant experience supporting senior executives, C-suite leaders, or founders
- Experience managing complex calendars and travel arrangements
- Excellent organizational and communication skills
- High level of professionalism and discretion
- Strong attention to detail and follow-through
- Ability to thrive in a startup or entrepreneurial environment
