A prominent, mission-driven organization in downtown Chicago is seeking a highly skilled and discreet Executive Assistant to provide confidential, high-level support to its senior executive leader. This is a trusted position requiring exceptional judgment, emotional intelligence, and organizational ability. The successful candidate will play a key role in enabling the executive to lead effectively across a wide range of responsibilities, including organizational leadership, community engagement, and strategic initiatives.
Key Responsibilities:
- Serve as the primary administrative partner to the senior executive, managing a complex and dynamic calendar, and anticipating needs before they arise.
- Prepare the executive for meetings, presentations, and public engagements by gathering materials, background information, and ensuring timely follow-up on commitments.
- Triage requests for the executive’s time, exercising sound judgment regarding urgency, importance, and confidentiality.
- Coordinate domestic and international travel, itineraries, and logistics.
- Support board and committee meetings, including scheduling, logistics, minute-taking, and document management.
- Handle sensitive information with the utmost discretion and professionalism.
- Provide administrative support for special projects and emerging priorities.
Qualifications:
- Bachelor’s degree or equivalent combination of education and relevant professional experience.
- 5-7 years of progressively responsible executive assistant or senior administrative experience, preferably supporting a senior executive, CEO, or public-facing leader.
- Demonstrated experience managing complex calendars and multiple competing priorities.
- Exceptional organizational skills, attention to detail, and written/verbal communication abilities.
- Strong interpersonal skills and proven ability to work with individuals from diverse backgrounds and levels of authority.
- Advanced proficiency with Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams, SharePoint, Zoom) and the ability to learn new digital tools.
- Commitment to equity, inclusion, and a collaborative, mission-driven environment.
Preferred:
- Experience in large nonprofit, faith-based, educational, or similarly complex organizations.
- Experience supporting boards, committees, or executive leadership teams.
- Familiarity with governance structures and supporting high-level external stakeholders.
