Our client is seeking a highly organized, proactive Executive Assistant to support senior leaders within a growing alternatives investment firm. This is a blended Executive Assistant and office support role providing primary support to the Head of Investor Relations while also assisting additional senior executives and helping manage day-to-day office operations. The ideal candidate is resourceful, team-oriented, and comfortable working in an entrepreneurial environment where flexibility, ownership, and a willingness to roll up their sleeves are highly valued. Hours are generally 8:30/9:00am-5:30/6:00pm with flexibility as needed, and the role is fully onsite five days per week.
Key Responsibilities:
- Provide executive support to the Head of Investor Relations and additional senior executives
- Manage complex calendars, scheduling, and meeting coordination
- Coordinate domestic and international travel arrangements, itineraries, and logistics
- Process expense reports and administrative workflows
- Maintain and update DealCloud and other contact management databases
- Support investor relations activities through meeting coordination and stakeholder communications
- Conduct wire instruction call-backs and assist with related administrative processes
- Coordinate office visitors, meetings, and hospitality needs
- Manage office supplies, vendor relationships, maintenance requests, and general workplace operations
- Assist with presentations, reporting materials, and special projects
- Partner with external HR resources and internal leaders on administrative initiatives
- Serve as the primary administrative resource within the New York office and proactively identify opportunities for improvement
Qualifications:
- 2-3+ years of administrative experience
- Strong calendar management and travel coordination expertise
- Experience supporting senior executives and client-facing teams
- Strong organizational skills with exceptional attention to detail
- Excellent written and verbal communication skills
- Experience with CRM systems or database management preferred
- Strong Microsoft Office proficiency, including Outlook, Excel, Word, and PowerPoint
- Ability to work independently and thrive in a smaller office environment
- Team-oriented mindset with a “no task too big or too small” attitude
Compensation/Benefits:
- Up to $100K-$120K base salary + discretionary bonus
