Our client, a well-established professional and real estate services firm in West Chester, is seeking a highly polished and proactive Executive Assistant to provide dedicated support to a senior leader. This individual will play a critical role in managing complex calendars, coordinating domestic and international travel, preparing executive-level materials, and serving as a key liaison between internal and external stakeholders.
About the Job:
- Provide high-level administrative support to the Managing Director, including calendar management, meeting coordination, and correspondence preparation.
- Manage complex executive schedules and proactively prioritize competing demands.
- Coordinate domestic and international travel arrangements, itineraries, and logistics.
- Prepare, edit, and distribute reports, presentations, and other confidential executive materials.
- Build and maintain strong working relationships with internal stakeholders, clients, vendors, and external partners.
- Track deadlines, follow up on action items, and ensure timely completion of key initiatives.
- Handle sensitive and confidential information with professionalism and discretion.
- Support a fast-paced team environment while managing multiple priorities and shifting deadlines.
About You:
- 5+ years of Executive Assistant or high-level administrative support experience.
- Proven experience supporting senior executives, ideally at the C-suite or Managing Director level.
- Strong calendar management and travel coordination experience.
- Excellent written and verbal communication skills.
- Exceptional organizational skills with the ability to manage multiple priorities simultaneously.
- Ability to work independently while collaborating effectively with internal teams.
- Professional demeanor with strong relationship-building skills.
- High level of discretion and confidentiality.
This onsite opportunity is located in West Chester, PA, and follows a 37.5 hour work week. This position offers an hourly rate up to $48.00, or an annual salary of $100,000, commiserate with experience.
