Our client is seeking a highly organized, proactive Executive Assistant / Personal Assistant to support the Founder & CEO of a growing merchant banking and investment firm. This is a true blended EA/PA role requiring exceptional judgment, responsiveness, and the ability to seamlessly manage both business and personal priorities in a high-activity environment. The ideal candidate is mature, resourceful, and thrives supporting a senior executive with extensive travel, numerous meetings, and evolving priorities. Hours are generally 8:30am-5:30pm with flexibility required to monitor email and text messages after hours for urgent travel or scheduling changes. The role is fully onsite five days per week, with occasional flexibility earned through trust and performance.
Key Responsibilities:
- Provide comprehensive Executive Assistant and Personal Assistant support to the Founder & CEO
- Manage complex business and personal calendars, meetings, and scheduling priorities
- Coordinate extensive domestic and international travel, including flights, hotels, car services, restaurant reservations, visas, and detailed itineraries
- Serve as a trusted gatekeeper and liaison between the CEO, internal teams, investors, board members, and external contacts
- Prepare meeting materials, agendas, briefing documents, and follow-up action items
- Manage expense reporting, invoices, and administrative workflows
- Coordinate conference attendance, industry events, dinners, and client-facing engagements
- Assist with personal travel planning and family logistics in partnership with the CEO’s spouse
- Schedule personal appointments, healthcare visits, and other lifestyle-related priorities
- Manage gifting, entertainment, reservations, and special projects
- Anticipate executive needs, identify potential conflicts, and proactively solve problems
Qualifications:
- 10+ years of Executive Assistant and/or Personal Assistant experience
- Financial services, banking, investment management, private equity, hedge fund, or related experience required
- Experience supporting C-suite executives, founders, global business heads, or senior Managing Directors
- Strong experience coordinating complex domestic and international travel
- Previous experience supporting both business and personal priorities preferred
- Exceptional calendar management and executive prioritization skills
- Excellent written and verbal communication abilities
- High attention to detail and strong organizational skills
- Ability to anticipate needs and operate independently in a fast-paced environment
- Proficiency with Outlook, Excel, Concur, Salesforce, and related business tools preferred
- Bachelor’s degree preferred but not required
Compensation/Benefits:
- Up to $175K base salary + plus discretionary bonus
