Our client is seeking a highly organized, proactive Senior Executive Assistant to support the Global Head of Technology and Chief Operating Officer of a leading investment firm. This is a high-profile executive support role requiring exceptional judgment, strong business acumen, and the ability to serve as a trusted extension of a senior executive operating across a global organization. The ideal candidate is an established career Executive Assistant who excels in high-volume environments, anticipates needs before they arise, and can effectively manage complex priorities while fostering collaboration across teams. Hours are generally 8:30am-6:00pm with flexibility required for after-hours accessibility, and the role is fully onsite five days per week across the firm’s New York offices.
Key Responsibilities:
- Provide dedicated executive support to the Global Head of Technology and COO
- Manage highly complex and constantly evolving calendars across multiple stakeholders, businesses, and time zones
- Coordinate extensive domestic and international travel arrangements, including detailed itineraries and contingency planning
- Process expense reports and reimbursement requests through established systems and policies
- Prepare meeting agendas, briefing materials, presentations, and executive communications
- Manage follow-up actions, meeting tracking, and information flow through internal systems and CRM platforms
- Serve as a strategic gatekeeper while maintaining a highly approachable and collaborative presence
- Coordinate team meetings, executive events, offsites, and hospitality arrangements
- Collaborate closely with other Executive Assistants to improve communication, processes, and team effectiveness
- Support ad hoc projects, research requests, database management initiatives, and operational improvements
- Act as a liaison with portfolio companies, investors, internal stakeholders, and external partners
Qualifications:
- 10+ years of Executive Assistant experience
- Bachelor’s degree preferred
- Financial services, investment management, private equity, investment banking, or professional services experience strongly preferred
- Experience supporting senior executives at the Partner, Managing Director, C-suite, or equivalent leadership level
- Exceptional calendar management and complex travel coordination expertise
- Strong experience managing high-volume scheduling and executive priorities
- Experience with Concur and Amex Travel strongly preferred
- Advanced Microsoft Office proficiency, including Outlook, Word, Excel, and PowerPoint
- Outstanding organizational skills and attention to detail
- Strong written and verbal communication abilities
- Solutions-oriented mindset with the ability to anticipate needs and think strategically
