Our client is seeking a highly organized, proactive Executive Assistant to support a small team of investment professionals within a rapidly growing family office and investment platform. This is a blended Executive Assistant and Office Manager role supporting senior investment leaders while overseeing the daily needs of a boutique New York office. The ideal candidate is entrepreneurial, resourceful, and energized by being the go-to person in a lean environment where initiative, ownership, and strong judgment are highly valued. Hours are generally 8:30am-5:30pm with flexibility as needed, and the role is fully onsite five days per week.
Key Responsibilities:
- Provide executive support to senior investment professionals, including a Principal, Vice President, and broader investment team
- Manage complex calendars, meeting coordination, and scheduling across multiple stakeholders
- Coordinate domestic travel arrangements, itineraries, accommodations, and logistics
- Process expenses and support administrative workflows
- Proactively anticipate executive needs and identify opportunities to improve efficiency
- Support investor and business meetings through conference room coordination, catering, and logistics
- Serve as the primary Office Manager for the New York office
- Coordinate vendors, building management, maintenance requests, and office operations
- Manage office supplies, pantry inventory, shipping, mail, and facilities-related needs
- Assist with visitor management and hospitality
- Provide light personal assistance such as restaurant reservations, travel bookings, and lifestyle-related requests
- Liaise with remote team members and external service providers to maintain smooth operations
Qualifications:
- 5+ years of Executive Assistant, Administrative Assistant, Office Manager, or related experience
- Financial services, private equity, investment management, hedge fund, or family office experience preferred
- Strong calendar management and travel coordination expertise
- Experience supporting senior executives in fast-paced environments
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication abilities
- Ability to operate independently and take ownership of responsibilities
- Proactive, self-starter mentality with strong follow-through
- Bachelor’s degree preferred but not required
Compensation/Benefits:
- Up to $120K base salary + discretionary annual bonus
