Our client is seeking a highly organized, proactive Executive Assistant to support senior leadership within a growing infrastructure-focused private equity firm. This is a high-touch executive support role providing primary support to the Chief Operating Officer and additional senior leaders while serving as a key partner in helping the team operate efficiently and effectively. The ideal candidate is resourceful, detail-oriented, and comfortable working in a traditional investment firm environment where responsiveness, ownership, and strong execution are highly valued. Hours are generally 8:30am-6:00pm with flexibility as needed, and the role is fully onsite five days per week.
Key Responsibilities:
- Provide executive support to the COO and additional senior leaders
- Manage complex calendars, scheduling, and meeting coordination
- Coordinate domestic and international travel arrangements, itineraries, and logistics
- Process expense reports and reimbursement requests
- Organize conference rooms, catering, and meeting logistics
- Prepare meeting materials, agendas, and administrative documentation
- Maintain communication with internal teams, investors, and external stakeholders
- Coordinate executive meetings, offsites, and special projects
- Monitor scheduling conflicts and proactively identify solutions
- Assist with administrative workflows, reporting, and business support initiatives
- Partner closely with the administrative team to ensure seamless coverage and collaboration
Qualifications:
- Bachelor’s degree required
- Executive Assistant, Administrative Assistant, or related support experience required
- Financial services, private equity, investment management, consulting, or other professional services experience preferred
- Strong calendar management and travel coordination expertise
- Experience supporting senior executives in fast-paced environments
- Excellent organizational skills and attention to detail
- Strong written and verbal communication abilities
- Advanced Microsoft Office proficiency, including Outlook, Word, Excel, and PowerPoint
- Experience with Concur and Amex-related travel tools preferred
- Team-oriented mindset with a collaborative working style
- Ability to manage changing priorities with professionalism and urgency
Compensation/Benefits:
- Up to $105K base salary + discretionary annual bonus
