Our client, a global nonprofit organization focused on improving access to eye care worldwide, is seeking a Temporary Travel Administration Specialist to join their Finance & Administration team until the end of December. This individual will support the coordination of global travel logistics for employees, volunteers, and program participants across international offices and initiatives. The ideal candidate will have prior travel services experience, exceptional organizational skills, and the ability to manage a high volume of complex travel arrangements in a fast-paced environment. This is a fully remote opportunity and the hours will be from 9am-5pm with a 30-minute lunch break. Compensation is $35-45/hour.
Responsibilities:
TRAVEL ADMINISTRATION
- Coordinate global travel logistics for client programs, meetings, and group travel, including air/rail, lodging, ground transportation, venues, and the global travel calendar in partnership with the Travel Management Company and client teams worldwide; monitor TMC service levels and escalate performance or contract issues as needed.
- Review ticketing, coding, traveler profiles, travel tracking, and related documentation for accuracy, compliance, Duty of Care, and cost effectiveness; escalate policy deviations as needed.
- Research and facilitate destination and transit visa requirements, health and immunization requirements, mileage and travel benefits administration, and other travel support needs as assigned.
- Use Office 365, intranet, tracking, and profile management tools to improve communication, reduce errors, and strengthen travel administration processes.
INTERNAL ADMINISTRATION:
- Maintain World Travel Services records and documentation to support retrieval, research, reporting, and audit needs.
- Support traveler onboarding, orientation, profile maintenance, coding, access, and location tracking.
- Produce regular reporting on travel spend, policy compliance, and cost trends to support departmental planning and decision-making.
- Assist the Senior Travel Manager with travel policy and procedure updates and provide general administrative support to the travel team.
- Ensure the corroboration and reconciliation of monthly expense accounts are completed in a timely manner
- File, review and process check requests and wire transfers as required.
Qualifications:
- 5+ years of travel services or travel coordination experience
- Excellent organizational skills and keen attention to detail; ability to prioritize and meet deadlines while managing a large volume of details, and/or escalate as needed
- Solid communication: ability to interact effectively in a multicultural context via email, video conference, phone, and in person.
- Demonstrated facility with numbers, time zones, and Excel spreadsheets
- Strong computer skills (Windows, Word, Outlook, PowerPoint, Excel, databases, Internet, and AI such as Copilot, Claude, etc.).
- Strong logistics problem solver: ability to work under pressure, handling last-minute complications while successfully producing results; comfortable working in a fast-paced environment.
- Strong interpersonal skills; ability to work effectively and sensitively with people of diverse national and cultural backgrounds.
