Our client is seeking a dynamic and detail-oriented part-time Admin to support our regional team. This position is 20 hours/week. This role is at the heart of the day-to-day operations, ensuring that everything runs smoothly-from office management to financial reporting and event coordination. You will be the go-to person for office functions, technology management, financial analysis, and supporting our marketing initiatives. Key Responsibilities:
- Ensure the efficient operation of our regional office, handling tasks such as front desk management, supply and equipment procurement, and vendor contracts.
- Act as the central point for work order management and ensure any issues are addressed swiftly.
- Provide general office support and serve as the subject matter expert for internal tools including Salesforce, Argus, SAP, Pivotal, BI, and Angus.
- Plan and execute both on-site and off-site events, meetings, and workshops for the regional team and third-party managers
- Assist in preparing executive presentations, strategic briefs, and manage the logistics for staff meetings and special projects.
- Participate in region-wide projects and campaigns, providing support on communication initiatives, workplace activations, and marketing efforts.
- Review and update Chicago property websites, ensuring brand consistency, accuracy, and removing outdated materials.
- Manage photography inventory for the regional team and coordinate shoots as needed.
- Prepare and submit monthly status reports on office and property performance.
- Review and process all office-related expenditures, ensuring accuracy and timeliness.
Qualifications:
- Bachelor’s Degree required
- 1+ years of corporate office experience.
- An operations expert who’s comfortable wearing multiple hats-managing office services, financials, and event logistics.
- Someone with strong analytical skills, capable of diving into data to provide meaningful insights and support financial tracking.
- Tech-savvy, with working knowledge of Salesforce, Argus, SAP, BI tools, and other office management systems.
- A problem-solver who thrives in a fast-paced environment, with the ability to balance competing priorities.
- Strong interpersonal and communication skills, able to liaise with senior leadership and external stakeholders.
