Our client, a global law firm with an office in Midtown Manhattan is looking for a Temporary to Permanent Senior Administrator to join their team. There will be an estimated 3-month temp trial period. This position will start as soon as we find the right fit and will operate on a hybrid schedule (3 days/week onsite and 2 remote) between the hours of 8:30 or 9:00 a.m. and 5:00 p.m (30-minute lunch break). The compensation range is $130,000-$140,000 DOE annually once permanent (hourly pay rate while temping in-line), plus benefits & a discretionary bonus.
Responsibilities:
- Manage complex calendars and diaries for senior executives, including internal and external meetings across multiple time zones
- Coordinate and prioritize meetings and ensure executives have the necessary materials and information
- Arrange domestic and international travel, including flights, accommodations, ground transportation, itineraries, and related logistics
- Coordinate meeting rooms, conference facilities, catering, technology, and other meeting requirements
- Prepare and organize agendas, briefing materials, presentations, correspondence, and other documents
- Manage expense reporting and other administrative processes
- Serve as a key point of contact for internal and external stakeholders
- Anticipate upcoming needs and proactively resolve scheduling, logistical, and administrative issues
- Help executives manage competing commitments, projects, and strategic priorities
- Track meeting action items and follow-ups and help ensure timely completion
- Coordinate cross-functional initiatives involving multiple stakeholders and departments
- Prepare executives for important meetings by gathering relevant information, identifying open issues, and ensuring appropriate follow-up
- Support special projects and strategic initiatives from planning through execution
- Develop and maintain systems, processes, and tools that improve executive effectiveness and organizational efficiency
- Identify opportunities to streamline workflows, improve communication, and maintain alignment across teams
- Act as a trusted liaison between executives and key internal and external stakeholders
- Handle sensitive, confidential, and time-critical matters with sound judgment and discretion
Qualifications:
- A minimum of 6+ years of experience supporting senior executives or other high-level leaders in a complex professional environment
- Demonstrated ability to manage multiple executives and competing priorities simultaneously
- Exceptional calendar management, organizational, and time-management skills
- Strong experience coordinating complex domestic and international travel
- Excellent written and verbal communication skills
- Strong attention to detail and commitment to accuracy
- Excellent judgment and discretion when handling confidential and sensitive information
- Ability to anticipate needs rather than simply respond to requests
- Strong interpersonal skills and ability to build trusted relationships with senior leaders and stakeholders
- Ability to work independently, take initiative, and make appropriate decisions without constant direction
- Strong proficiency with Microsoft Office and other common productivity and collaboration tools
- Experience in a law firm, professional services, financial services, consulting, technology, executive search, or a similarly high-performance environment preferred
- Ability to remain calm under pressure and work effectively in a high-energy, fast-paced environment
- Ability to work onsite three days per week
- Flexibility to provide occasional support outside regular business hours for executive travel, urgent requests, critical meetings, or deadlines
