Our client is seeking a highly organized, proactive Project Coordinator to support a Consultant within one of the world’s leading executive search and leadership advisory firms. This is a client-facing, project-driven support role that combines executive support, project coordination, candidate management, and client service. The ideal candidate is detail-oriented, relationship-focused, and enjoys managing multiple priorities while serving as a critical partner throughout executive search engagements. Hours are generally 8:30/9:00am-5:00/5:30pm with flexibility as needed, and the role follows a hybrid schedule of 2-3 days onsite per week after an initial training period.
Key Responsibilities:
- Provide project and administrative support to a Consultant within the executive search practice
- Coordinate complex candidate and client interview scheduling across multiple stakeholders and time zones
- Manage calendars, travel arrangements, and meeting logistics
- Prepare and maintain job status reports, project trackers, and engagement documentation
- Proofread presentations, reports, correspondence, and client deliverables prior to distribution
- Serve as the final quality-control review for client-facing materials
- Update and maintain information within the firm’s proprietary CRM and database platforms
- Support executive search engagements from launch through completion
- Coordinate project timelines, action items, and search deliverables
- Maintain organized records, files, and search documentation
- Serve as a key point of contact for clients, candidates, and internal stakeholders
- Assist with special projects and additional administrative initiatives as needed
Qualifications:
- 5-7+ years of Executive Assistant, Project Coordinator, Administrative Assistant, or related support experience
- Professional services experience strongly preferred (executive search, consulting, legal, financial services, etc.)
- Demonstrated experience managing projects or processes from start to finish
- Strong client-facing experience with excellent communication skills
- Experience proofreading documents, presentations, and client-facing materials
- Experience utilizing CRM systems, databases, or proprietary platforms
- Strong calendar management and administrative support skills
- Exceptional attention to detail and organizational abilities
- Ability to manage multiple priorities in a fast-paced environment
- Strong Microsoft Office skills, particularly Word, PowerPoint, and Outlook
- Proven career stability with demonstrated longevity in previous roles
- Ability to work independently while collaborating closely with a team

- Up to $100K base salary + paid overtime + discretionary annual bonus
