Our client is seeking a highly organized, proactive Project Coordinator to support a consultant within one of the world’s premier executive search and leadership advisory firms. This is a client-facing, project-driven support role combining executive support, candidate management, project coordination, and client service. The ideal candidate is detail-oriented, relationship-focused, and thrives managing multiple high-priority engagements simultaneously while serving as a critical partner throughout the executive search process. Hours are generally 8:30/9:00am-5:00/5:30pm with flexibility as needed, and the role follows a hybrid schedule of 2-3 days onsite per week after an initial training period.
Key Responsibilities:
- Provide project and administrative support to consultant and executive search teams
- Coordinate complex client and candidate interview scheduling across multiple stakeholders and time zones
- Manage calendars, meeting logistics, and travel arrangements
- Prepare and maintain search status reports, project trackers, and engagement documentation
- Proofread presentations, reports, correspondence, and client-facing materials
- Serve as the final quality-control review for search deliverables and executive presentations
- Maintain and update candidate, client, and project information within the firm’s proprietary CRM platform
- Support executive search engagements from launch through completion
- Track project timelines, milestones, action items, and client deliverables
- Facilitate communication between clients, candidates, consultants, and internal stakeholders
- Maintain organized search files, databases, and administrative records
- Assist with special projects and additional administrative initiatives as needed
Qualifications:
- 5-7+ years of Executive Assistant, Project Coordinator, Administrative Assistant, or related support experience
- Professional services experience strongly preferred (executive search, consulting, legal, financial services, etc.)
- Demonstrated experience owning projects or processes from start to finish
- Strong client-facing communication experience
- Experience proofreading and editing client-facing documents and presentations
- Experience utilizing CRM systems, databases, or proprietary platforms
- Strong calendar management and project coordination skills
- Excellent Microsoft Office skills, particularly Word, PowerPoint, and Outlook
- Exceptional organizational abilities and attention to detail
- Proven ability to manage multiple priorities in a fast-paced environment
- Strong written and verbal communication skills
- Demonstrated career stability and longevity in previous roles
Compensation/Benefits:
- Up to $100K base salary + paid overtime + discretionary annual bonus
