Our client is seeking a highly organized, proactive Executive Personal Assistant to support the Head of the Investment Practice for a leading global executive search firm. This is a true blended Executive Assistant and Personal Assistant role that operates with a Chief of Staff-like scope, combining high-level business support, project coordination, client-facing responsibilities, and personal/family administration. The ideal candidate is highly resourceful, detail-oriented, and thrives in a fast-paced, client-driven environment where anticipating needs, managing competing priorities, and exercising strong judgment are critical. Hours are generally 8:00/8:30am-5:30pm with flexibility required based on business and client needs, and the role follows a hybrid schedule with 2-3 days onsite.
Key Responsibilities:
- Provide dedicated Executive Assistant and Personal Assistant support to the Head of the Investment Practice
- Manage complex professional and personal calendars, scheduling, and prioritization
- Act as a strategic partner and Chief of Staff-style resource, proactively identifying priorities and driving follow-through
- Coordinate client meetings, interviews, and executive search activities across multiple time zones
- Prepare briefing materials, research reports, presentations, pitch documents, and client-facing communications
- Manage business travel, personal travel, itineraries, reservations, and expense reporting
- Maintain and update internal databases, candidate records, contact information, and search activity
- Monitor professional and personal inboxes and ensure critical items receive timely attention
- Partner with internal teams to coordinate client activity, search updates, and business development efforts
- Assist with family logistics, children’s schedules, school communications, appointments, and events
- Coordinate family travel, birthday parties, special events, and personal projects
- Research restaurants, venues, family experiences, and travel opportunities
- Leverage AI tools and technology to improve productivity and streamline workflows
Qualifications:
- 5+ years of Executive Assistant or Executive/Personal Assistant experience
- Previous experience supporting senior executives, Partners, founders, or business leaders
- Executive search, financial services, consulting, legal, or professional services experience preferred
- Experience balancing both professional and personal support responsibilities
- Exceptional organizational abilities and attention to detail
- Strong proofreading, editing, and document preparation skills
- Excellent written and verbal communication abilities
- Experience managing databases, CRM systems, and project tracking tools
- Strong judgment, resourcefulness, and ability to anticipate needs
- Interest in financial markets is a plus
- Familiarity with AI tools and willingness to adopt new technologies
- Knowledge of New York restaurants, hospitality, travel, and event options is highly desirable
Compensation/Benefits:
- Up to $160K base salary + discretionary bonus
