Our client, a leading non-profit organization, is seeking a Temporary Administrative Coordinator to join their team. This role will last for ~1-2 months, with the potential to extend as needed and requires this person to be on site 5 days a week from 8:30am-4:30pm. The role pays up to $24/hr and is a great opportunity for someone that has a passion for mission driven work.
Essential Duties and Responsibilities:
- The essential duties of the Administrative Coordinator include but are not limited to the following activities:
- Handle routine administrative tasks such as filing, scanning, data entry, and document management
- Manage shared calendars, schedule meetings, and arrange logistics as directed
- Assist with purchasing paperwork, invoice tracking, and routine expense documentation
- Support onboarding logistics (paperwork collection, scheduling trainings, badge requests)
- Answer emails and phone inquiries related to food service administration
- Maintain organized physical and electronic filing systems
- Assist with preparing standard reports and forms using established templates
- Support kitchen administration with routine coordination tasks
- Perform general office support functions as assigned
- Enter and receive invoices into Accounts Payable system
- Order supplies for office
- Maintain office organization
- Conduct research into potential new customers and assist in outreach
- Track receivables, communicating with clients to facilitate payments
- Format menus, flyers, and promotional materials
- Work with the Executive Assistant to facilitate New Hires and HR status changes
- Create materials for meetings with executives of Project Renewal
- Maintain social media presence with regular posts on Facebook & Instagram
Qualifications:
- Bachelor’s degree or equivalent experience.
- 3+ years of administrative experience.
- 2+ years of food services and/or catering experience.
- Superb organizational skills and strong administrative background.
- Highly reliable, detail-oriented, and resourceful team player.
- Ability to balance priorities on multiple tasks and maintain workflow in high pressure environment.
- Initiative to take on assignments with minimal supervision.
- Solid computer skills with knowledge of MS Office (Word, Excel, PowerPoint, etc.), Quickbooks, and social media.
- Knowledge of POS (toast) and expense tracking software (XtraChef) a plus
- Strong sales and communication skills – verbal and written
- Strong knowledge of and skills in social media
- Ability to work with team members and coordinate between teams
