This temporary Event Specialist opportunity offers $30/hour and is expected to run through June with potential for permanent hire. The position is based in Cambridge, MA, beginning fully onsite for training before transitioning to a hybrid schedule (3 days onsite, 2 days remote). Standard hours are 9:00 AM to 5:00 PM with flexibility required for occasional evening and weekend events. This role is with a nonprofit research and policy organization and focuses on planning, coordinating, and executing virtual, hybrid, and in-person events.
Responsibilities:
- Serve as the primary operational lead for assigned virtual and in-person events.
- Manage all phases of event planning, execution, reconciliation, and post-event evaluation.
- Coordinate vendor relationships, contracts, budgets, and event logistics.
- Oversee registration management, speaker coordination, and travel arrangements.
- Direct onsite and virtual event operations and troubleshoot issues as needed.
- Partner with internal teams including IT, Facilities, Communications, and program departments.
- Support large-scale and high-visibility events alongside senior team members.
- Contribute to process improvements, documentation, and cross-functional special projects.
- Ensure events align with branding standards and audience engagement objectives.
Qualifications:
- 3-8 years of event planning, meeting management, administrative, program management, or related experience.
- Experience supporting virtual and hybrid events.
- Strong organizational skills with the ability to manage multiple concurrent projects.
- Excellent written and verbal communication abilities.
- Experience managing vendors, budgets, logistics, and stakeholder relationships.
- Ability to work independently, exercise sound judgment, and proactively solve problems.
- Strong attention to detail and ability to meet deadlines in a fast-paced environment.
- Proficiency with Microsoft Office Suite and project management platforms such as Asana or Monday.com.
- Experience with platforms such as Zoom and Swoogo preferred.
- Bachelor’s degree preferred.
- Spanish or Portuguese language skills are a plus.
- Ability to work evenings, weekends, and occasional travel as needed.
